Borrowing & Delivery Services
The NJIT library facilitates the circulation of materials owned by NJIT to students, faculty and staff and authorized alumni, courtesy and guests borrowers.
Who may borrow library materials?
- NJIT students, faculty and staff with a current validated NJIT ID card
- NJII staff members
- NJIT Alumni with a valid ID card
- NJIT Enterprise Development Centers members
- NJIT VIP's with letter from appropriate department
- Students from CHEN member libraries in Newark: Essex County College and Rutgers University (Newark Campus Only)
- VALE reciprocal borrowing institutions and NJIT library VALE borrowing policy
- Undergraduate students (participating institutions)
- Faculty/staff (participating institutions)
- Graduate students (participating institutions)
- Circulating collection
- 2-hours, 1 day, and 7 day materials in the reserve collection housed at the Circulation Desk
- Humanities/Social Science videotapes
- Reference books
- Periodicals / serials / journals / magazines
- Non-circulating Humanities/Social Science books. These are intershelved with circulating collection on the lower level
- Use in library materials

How many items can I borrow?

Is there a limit on how many items in the circulating collection I can borrow simultaneously?
- NJIT undergraduate and graduate students: 25 items
- NJIT faculty and staff: 25 items
- NJIT alumni: 10 items
- Alumni, courtesy & guest borrowers, Rutgers Newark Campus students: 10 items
What is the check-out procedure for circulating materials?
- Borrower must present an ID card, valid for the current semester, to borrow library materials. Only the owner of a library-registered ID is authorized to borrow materials on his or her card. The library is not responsible for unauthorized use of library cards.
What is the check-out procedures for "use in library" materials?
- Borrower must present an ID card, valid for the current semester, or a valid driver's license in order to borrow Use in Library Materials. The ID will be held at the Circulation Desk while the material is being used in the library.
What is the procedure for renewals?
Materials on loan may be renewed twice providing no one has requested them. NJIT graduate students may renew items three times. Renewals may be done in the following ways:
- on the web (My Account)
- by presenting the books at the circulation desk
- via the telephone 973-596-6371 (faculty and staff only)
In the spirit of limiting renewals to two times so that other users have access to material, we also ask that borrowers wait 48 hours before borrowing a book they have just returned. In cases where we know 48 hours have not passed, we will consider such a loan as a renewal for the purpose of this policy.
What are the fines for returning borrowed items late?

* Fines are NOT a mechanism to "rent" a book. Purposefully keeping a book for a longer period of time after it is overdue and then simply paying up the fine does NOT relieve you of your library obligations. Borrowers who are habitually keeping books overdue may may be subject to loss of access and use of library resources and disciplinary action by the university.
How do I place a hold on a borrowed item?
- Holds may be placed on materials that are currently charged out by placing a Hold request using the online catalog system
How do I recall a borrowed item?
- All materials are subject to recall before its original due date when the item is needed by another library borrower.
- The library understands that borrowers need materials for the papers they have to write and exams for which they have to study. However, the library is charged with making sure as many borrowers as possible get access to the materials they need. Sometimes -- when there is great demand and few resources -- that means you get a shorter "turn" with the material.
Is there a recall fine for borrowed materials that are not returned by the recall due date?
- Recall fine is $1.00 per day / per item for materials not returned after 7 days of notice
What are the procedures for lost or damaged materials?
- Patrons are fully responsible for all library materials charged out to them. In the event that an item is lost, the library will charge the cost of the item plus a $10.00 processing fee per item. If a lost item is found and returned within 90 days the cost of the item will be refunded. The processing fee is not refunded.
Does the library send overdue notices for materials that I borrowed?
- Notices are sent at 7, 14, and 21 days after an item is due.
- Notices are emailed to the borrower's official NJIT email addresses. Borrowers are responsible for checking NJIT email account or automatically forwarding email sent there to their off-campus or preferred email account.

Using document delivery service, NJIT students, faculty, and staff may request scans of journal articles and book chapters from materials available in the Van Houten Library and Littman Library print collection. Interlibrary Loan (ILL) staff will scan articles or book chapters and deliver them as a PDF to library patrons’ ILLiad accounts.
Who may use document delivery service (DDS)?
- Currently registered NJIT graduate students and undergraduate students,
- Current NJIT faculty, adjunct faculty, and staff; emeritus faculty,
- Distance learning students.
What materials may be requested through DDS?
- Articles and book chapters from the Van Houten Library print collection,
- Articles and book chapters from the Littman Library print collection.
How many DDS requests are allowed?
- Limit is 5 DDS requests per day per library patron. Limits are subject to change depending on demand.
How long will it take for DDS materials to arrive?
- DDS materials are usually delivered within 24 to 48 hours.
How will DDS materials be delivered?
- DDS materials will be delivered in PDF format to library patrons’ ILLiad accounts. Library patrons will receive an email notification when a DDS request is completed and accessible. Once delivered, DDS materials are stored for 30 days.
How do I place a DDS request?
- Requests are placed through your ILLiad account.
- Before submitting a DDS request, check Journals Finder and Online Catalog for availability. If the item shows “available” at Van Houten Library or Littman Library, proceed to submit a request through ILLiad.
- After logging in to your ILLiad account, choose new request for an article or a book chapter to submit your DDS request. A separate request must be placed for each article or book chapter to be scanned.
- First-time ILLiad requesters will be asked to create an account.
What are the limitations on what can be requested through DDS?
The library has established “fair use” copyright guidelines based on the copyright law of the United States and current practices in other academic libraries.
The copyright law of the United States (Title 17, United States Code) governs the making of reproductions of copyrighted materials. Under certain conditions specified in the law, libraries are authorized to furnish a photocopy or other reproduction. One of these specific conditions is that the photocopy or reproduction is not to be "used for any purpose other than private study, scholarship, or research." If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of "fair use," that user may be liable for copyright infringement.
NJIT library reserves the right to refuse to accept a document delivery request if, in its judgment, fulfillment of the request would involve violation of copyright law in excess of “fair use”.
To operate within these established “fair use” guidelines and, at the same time, strive to provide access to scholarly research materials, copyright policies for document delivery requests are as follows:
NJIT library will not scan:
- More than one book chapter from a book,
- More than one article from a journal issue or newspaper,
- Articles or book chapters longer than 50 pages or more than 10% of the journal or book,
- Materials on course reserve.
Library patrons who need more than one article from a print journal issue or one chapter from a book are encouraged to visit the Van Houten Library or Littman Library to access and use these materials in person.
NJIT Collections not available through DDS?
- Materials from archives and special collections,
- Materials from microforms collection,
- Full-text materials available online (e-Journals, e-Books, etc.),

Who is not eligible for document delivery service?
- Currently registered undergraduate students,
- Alumni,
- Courtesy patrons (including VALE patrons),
- Enterprise Development Center (EDC) employees,
- Guest visitors.

Due to COVID-19 Related Health and Safety Restrictions, NJIT is Not Participating in Reciprocal Borrowing During the Fall 2020 Semester
Full-time faculty, staff members, graduate students and undergraduate students from participating VALE libraries who are in good standing at their home library qualify for onsite borrowing privileges at NJIT. Faculty members with adjunct status at VALE institutions are not eligible for NJIT borrowing privileges.

Registration requirements
- a completed VALE Reciprocal Borrowing Application Form *(authorized form available at Van Houten Library Circulation Desk)
- a current valid photo I.D. card from the borrower's university or college

- * You can pre-print the application form. This form must be authorized by the NJIT library before it is valid.
Guest Borrowing Card
- Guest borrower card and barcode will be issued. The card is valid for the current academic year, with an expiration date of June 30. The card must be renewed following each June 30th.
Loan Periods
- The guest loan period is 28 days for all materials charged out. Only 28 day circulating material may be borrowed.
- The guest may borrow up to 10 items.
Returns
- Return NJIT materials directly to the NJIT library. Return materials from other libraries directly back to those libraries.
Recalls
- All materials on loan are subject to recall. If an NJIT patron recalls a book, you will be notified by email to return the book before the normal due date.
- Recalled material must be returned within 48 hours of notification. If not returned, you will be immediately billed for the price of the book plus a $10 processing fee.
- Guest borrowers are not eligible for recall privileges.
Fines and fees
- 28 day circulating material late charge: $1.00 per day, per item.
- If not returned, after 2 weeks you will be billed for price of the item plus a $10 processing fee.
- Lost or damaged item: price of the item plus a $10 processing fee.
Borrower responsibilities:
- all books checked out on your card
- the return of borrowed materials on time
- any fines or fees charged to your account
- payment for lost or damaged material
- notifying the library of any change of your address
If the other VALE lending library is unable to get you to return materials, pay fines, or otherwise settle your accounts, you will be liable to NJIT for those materials and charges.
Restrictions
- Not eligible for Interlibrary Loan.
- Borrowing materials is a privilege that may be revoked by library staff whenever deemed necessary.
